There is no doubt that running a board meeting can be a long tedious task. If your meetings lack structure, focus or energy, it could cost you in terms of missed opportunities and decreased productivity. There are a few simple steps you can implement to ensure that your directors are fully engaged and take part in a productive board meeting.
Evaluate Your Meetings at Least Every Year
Gathering feedback is among the best methods to improve meetings. After a few meetings invite your board members to take two sticky notes and mark “+” on the parts which were satisfactory and “-” on the areas that could be improved. Then, ask them to stick the notes on a poster which they can put near the door so that everyone can identify what needs to altered.
Manage Your Time
Keep your meetings short to allow for meaningful discussions and decision-making. Beware of the temptation to include lengthy reports and “have to” items on your agenda. Rather than discussing detailed information that is already circulated in your board book think about breaking it up into smaller topics for discussion or having your directors conduct their own research prior to attending the meeting with questions to be discussed.
Board meetings are a great way to inspire your team and make them feel excited. Incorporate “mission moments” to the meeting, where the board can listen to stories and testimonials about the impact that your organization can have on the lives of individuals. This can be a powerful energy booster for your group.
